General booking and cancellation terms for Holiday Club Resorts Oy (“Holiday Club”) hotels, holiday houses and introductory holidays

Scope and special conditions 

These terms and conditions apply to accommodation bookings made by consumer customers, unless otherwise agreed in writing at the time of booking the accommodation or stated otherwise in the terms and conditions of an individual booking. The Holiday Club may update the Terms at its sole discretion, with the new Terms taking effect upon publication. 

Reservation and cancellation terms for Holiday Club hotels: ‘Pay now’ bookings 

For prepaid accommodation, the full amount of the reservation will be charged at the time of booking. The online payment methods are credit card (Visa or MasterCard), Visa Electron, online banking, Mobile Pay or Klarna. In order to offer you Klarna’s payment methods, we might in the checkout pass your personal data in the form of contact and order details to Klarna, in order for Klarna to assess whether you qualify for their payment methods and to tailor those payment methods for you. Your personal data transferred is processed in line with Klarna’s own privacy notice.

When booking from the customer service by phone, the method of payment is a paument card. If the customer does not have a payment card, a pre-invoice can be sent by e-mail. An invoice surcharge of 10 EUR will be charged for the pre-invoice. 

Prepayment will confirm the booking and the room will be automatically booked in case of late arrival. A prepaid reservation cannot be changed or canceled. If the customer does not arrive, the prepayment will not be refunded. 

We recommend travel insurance for our customers in case of any unexpected situations. 

Reservation and cancellation terms for Holiday Club hotels: ‘Pay at the destination’ bookings 

The room will be reserved until 18:00 on the day of arrival, unless a late arrival has been confirmed. The room reservation can be canceled free of charge by 18:00 on the day of arrival. If the customer has not arrived or canceled the reservation by 18:00 on the day of arrival, the hotel has the right to cancel the reservation and hand over the room to another customer.

The room reservation can be confirmed in case of late arrival by providing the credit card information at the time of booking, in which case the hotel will keep the room reserved until the next morning. If the reservation is not canceled in time, and the customer does not arrive at the destination, the hotel has the right to charge the room rate for one night including taxes and other confirmed additional services related to the reservation from the credit card. It is possible to confirm the room reservation in case of late arrival only for reservations made through the online store.

Pay at the destination reservations must be paid upon check-in with payment card or gift card.

Reservation and cancellation terms for Holiday Club holiday houses 

Payment for the holiday houses will be made in full at the time of booking. The online payment methods are credit card (Visa or MasterCard), Visa Electron, online banking, Mobile Pay or Klarna. The reservation can be canceled, unless otherwise stated in the booking conditions for each promotion. Cancellations must be made by calling Holiday Club customer service or by e-mail to asiakaspalvelu@holidayclub.fi. If canceled up to 14 days before date of arrival, no fee will be charged. If canceled later, no fee will be refunded.

The reservation of a holiday apartment may sometimes include a change of apartment during the vacation. We always try to avoid change, but if it is necessary, we will contact you before the start of the holiday.

After a confirmed booking, Holiday Club may, if required, make reasonable changes to the holiday house mentioned in the booking confirmation at the resort, with the number of beds remaining at least as stated in the booking confirmation. We try to take into account the wishes related to the holiday house whenever possible. The prices of the holiday houses include accommodation, bed linen, towels and final cleaning of the apartment. Other facilities at the resort, such as a spa and breakfast, are available at an additional cost. 

Reservation and cancellation terms for Holiday Club Gold bookings  

Gold discounted holiday houses are for Holiday Club Gold owners. Reservations are binding and will be paid immediately. There is no right to change or cancel the Gold discounted bookings and the Holiday Club may change the terms and conditions of the Gold bookings. Up-to-date information for Gold bookings can be found on the Owners' online service.  

Owners´ benefits are personal and owners´ accommodation cannot be transferred for use to another person. In other respects, the rental conditions for Gold discounted holiday houses follow these general booking and cancellation policies for hotels, holiday houses and introductory holidays. 

Reservation and cancellation terms for Holiday Club introductory holidays 

A Holiday Club introductory holiday always includes a Holiday Club sales presentation, which provides information about Holiday Club time shares, owner’s benefits, and our different holiday destinations.

By booking an introductory holiday, the customer agrees to comply with the following terms:

  • The customer will attend the Holiday Club sales presentation at the pre-agreed time during introductory holiday. The presentation lasts approximately two (2 ) hours.
  • The presentation is conducted in Finnish, so the customer must be proficient in Finnish.
  • If the customer lives in the same household with a spouse, the spouse must also attend the presentation.
  • At least 12 months must have passed since the previous sales presentation. If the customer is already a Holiday Club owner, at least 6 months must have passed since the previous presentation.
  • The customer has attended a Holiday Club sales presentation no more than 4 times in the past 5 years (this restriction does not apply to owners).
  • The customer is employed or retired and receives regular income.
  • The customer has a good credit history.
  • The customer is a natural person aged between 25 and 70 years (owner between 18 and 75 years) and has full legal capacity.
  • The introductory holiday must not be used for group bookings, events, or gatherings organized by private individuals.
  • The booking applies only to the person making the reservation and those living in the same household, and the booking must be made using the customer's own profile.
  • The customer has complied with the terms during previous introductory holidays.

If the customer does not meet the conditions or knowingly violates them, Holiday Club reserves the right to charge the full list price of the holiday and the difference between the paid price and the list price. Holiday Club may also cancel the reservation and prevent future bookings.

The customer may request a specific time for the Holiday Club sales presentation when making the reservation. Requests will be considered where possible. Holiday Club reserves the right to change the presentation time during the customer’s holiday if necessary. Any changes will be communicated to the customer as soon as possible.

The introductory holiday cannot be transferred to another person.

The payment for the introductory holiday must be made in full at the time of booking. It is not possible to pay with a gift card.

The advance payment confirms the reservation, and the room will be automatically held for late arrival. A prepaid reservation cannot be canceled. If the customer does not show up, the advance payment will not be refunded.

The reservation can be rescheduled once to another date at the same location. The change must be made no later than 48 hours before the start of the reservation. The rescheduling must be done by calling Holiday Club customer service. If the reservation is moved to a more expensive date, the customer will pay the price difference. If moved to a cheaper date, the difference will not be refunded.

We recommend that our customers have travel insurance for unexpected situations.

General terms to be observed in promotional campaigns 

Offers apply to new bookings only, not canceled or re-booked during the promotion. The offer price is valid during the promotion period, subject to availability, and cannot be transferred to other dates after the offer validity period or combined with other discounts and offers. 

Discounted apartments and extra beds are subject to availability and may vary by date of arrival and departure. Cancellation policies may vary by campaign. We reserve the right to make changes. 

Terms and conditions of Holiday Club gift cards

Gift cards are valid at all Holiday Club destinations in Finland.
The reservation without payment with a gift card will be charged when you arrive at the destination. Please note that the gift card must be valid at the start of the stay. For reservations made by phone, the charge can be made in connection with the reservation. The gift card is valid for 12 months from the time of purchase. The customer is responsible for having the gift card with them. The gift card is not personal.

The validity period of the gift card cannot be extended and the card cannot be loaded with more value. The gift card cannot be exchanged for money, and a lost or stolen gift card cannot be replaced. Gift card purchases have a 14-day right of return.

Holiday Club is not responsible for delays in the delivery time of gift cards delivered by post caused by Posti's distribution operations. Please note that reservations made with spa holiday gift cards have limited availability.

Stay in hotel rooms and holiday homes and pets 

The customer must ensure that the hotel room or holiday house remains in good condition. The booker is obliged to compensate for the damage caused to the apartment or its furniture. Smoking is not allowed indoors and there will be a cleaning fee of at least 300 € plus any damages in excess. 

In places where pets are allowed, the presence of a pet must be announced at the time of booking. Information on the availability and price of pet rooms can be found in the Holiday Club's online store in the room descriptions of the properties and in the customer service. A separate pet fee will be charged. If the pet has not been notified in advance, the Holiday Club has the right to charge the booker or the guest an amount equal to three times the pet fee. The booker must ensure that pets are not harmed or cluttered in the apartment or its courtyard. 

Commentaries 

If you have any comments regarding the equipment or condition of the apartment, please contact the reception as soon as possible after the start of your holiday. 

Holiday Club's right to change prices 

Even after the booking, the Holiday Club has the right to increase and correspondingly the obligation to reduce the agreed price if the taxes or public charges affecting the price of the accommodation change and the customer has not yet paid for the booking. 

Holiday Club's right to cancel the reservation

Holiday Club can propose to the customer to transfer the reservation or cancel the reservation, if the reservation cannot be carried out by reasonable means at the reserved time, for example due to force majeure. If the reservation is canceled by Holiday Club, the customer has the right to get the entire reservation fee back.

Incorrect price information 

Holiday Club has the option of refusing to confirm a booking if there is a significant and obvious error in the price shown on the website. 

Customer communication related to the reservation 

Holiday Club can send accommodation-related customer communications to the contact details provided in the booking information. 

Collection of personal information 

Holiday Club Resorts Oy collects personal information from customers. Personal information is required, among other things, to confirm the accommodation reservation. Detailed information on the processing of personal data can be found on our website
